Government and Defence Transfer Moves: Working to Someone Else's Date

Transfer moves are a large part of what we do in Uttarakhand — the state has a heavy government, defence and PSU presence, and Dehradun, Hathibarkala, Clement Town, Prem Nagar, Ranikhet and Lansdowne all turn over on the same calendar. The distinguishing feature is that almost nothing about the timing is yours to decide.

Plan backwards from two dates

The vacating date at the old quarters and the reporting date at the new posting. Everything else fits between them, and they frequently leave less room than people expect. As soon as the order is in hand, work out:

• The date the old quarters must be handed over
• The date the new quarters are allotted — often not the same as the reporting date
• Whether there is a gap, and therefore whether storage is needed

That gap is common and entirely manageable, but it needs pricing at quotation stage rather than negotiating mid-move.

Transfer season fills up early

June and July concentrate an enormous share of the year's moves into a few weeks. We hold capacity for this period, but the slots go, and a family calling in the second week of June for a move that week is often calling too late.

Book as soon as you have the order, even if the date may shift. Moving a booked date is straightforward; creating capacity that does not exist is not.

Cantonment and campus access

Vehicle entry into a cantonment needs a pass, and the timings are set by the authorities, not by us. Ranikhet, Lansdowne, Clement Town, Chakrata and the Dehradun cantonment areas all work this way. It is routine, and it takes two or three days' notice — which means a same-day cantonment move is generally not possible however small the load.

Give us the station and the quarters number at booking and we handle the pass.

Quarters moves are inventory moves

Departmental quarters usually come part-furnished, which means only your own goods move — and the departmental inventory has to be checked and signed on both sides. A disputed inventory at handover is a far bigger problem than a slow move.

We work to that list, keep departmental items visibly separate from yours during packing, and hand over a signed item count. If the quarters furniture is being handed back, that check happens before we load, not after.

Documentation for reimbursement

If the move is being reimbursed, the paperwork has to match what the department will accept. We provide:

• A GST invoice in the name required — yours or the department's
• An itemised inventory with the consignment weight or volume stated
• The transport receipt with vehicle and consignment numbers
• Delivery confirmation signed at the destination

Tell us at booking which name the invoice must be in and what format your department wants. Reissuing an invoice after the fact is possible but slow, and reimbursement claims stall on exactly this.

Choreographed handovers

The most demanding version of this job is when the outgoing and incoming families need the same quarters on the same day. It happens constantly in transfer season. It works if both moves are planned together — one load out in the morning, cleaning, one load in from midday. It does not work if it is discovered on the day.
